Welcome to High Track and Field. As the head coach of the men’s and women’s programs, it is with great pride and excitement that we extend to you the opportunity to participate in our track and field program. By indicating to the coaching staff that you intend to participate in track and field, I feel you, the athlete should be made aware of the rules and regulations we feel are necessary to adhere to during the season. This contract is to let you know what is expected of you both in and out of the classroom. The consequences are set forth if you choose to break or ignore the guidelines. Participation is a privilege; certain rules must be met and will go into effect immediately until the end of the season.
I. High School Requirements
1. Pass 5 out of 6 classes from the fall semester.
2. Be on track to graduate with your class.

II. Academic Standards
1. Give each teacher your very best effort.
2. Behave in the classroom and in the halls.
3. Disrespect to any teacher/coach will not be tolerated.

Athletes are expected to make every effort to attend all practices and meets unless directed by one of the coaches. The program should take priority over all other extracurricular activities. Absences will be considered excused when the athlete is absent from school, or obtains prior approval from one of the coaches. The athletes may have a note from home or a teacher the following day stating the dates of the absences and a valid reason.
Athletes must adhere to all directives and training requirements of the coaching staff at Roswell High School at all times during the season. Failure to do so will result in an athlete being held out of a meet and/or being dismissed from the team.
Practices will occur from 3:55 to 5:30 everyday. Unless you are notified otherwise, report to the track on time in workout clothes. In case of bad weather meet in room PE 07
3:55- Roll Call
4:00- Team Warm up/Stretching
4:15- Workout
5:00-5:30 Cool down, block work, hurdle work, baton work, or any other related activity.
Attendance and participation in practice are prerequisites to participation in meets. (Athletes or parents can e-mail me if there is a situation I need to be made aware of regarding one’s absence from practice).
Dr. Appointments are excused practices. We encourage the athletes to limit the time missed from practice.
Athletes missing practice for after school activities need to make up the practice in the morning at 7:00 A.M.
Honesty, integrity, respect for athletes, respect for your teachers, the Coaching staff and good sportsmanship are expected at all times. Athletes suspended from school will be placed on probation and will be required to talk to one of the coaches about the incident.
The coaching staff must be notified a minimum of 7 days prior to a meet if you are not able to compete. Failure to do so will result in being held out of another meet.
All Athletes will ride to and from a meet with the team. All team mates will be present to support the entire team until the conclusion of all home meets. Role call will be taken at the conclusion. Failure to be present can result in being held out of next meet. If we have two busses going to a meet, then you may ride the early bus and you will be eligible to ride the early bus home if you are finished with your events. Exceptions will be entertained, but they must be approved well in advance of the meet.
I. Alcohol, Tobacco, or Drug use follow local and county procedures
II. Attendance: Unexcused absence is defined as being at school and not notifying a coach that you will be absent.
First Offense: Warning: Athlete stays after practice and puts up hurdles, blocks, etc.
Second Offense: Warning: Athlete stays after 3 days after practice toput up equipment.
Third Offense: 1 Meet Suspension. Athlete has to help at a home track meet and parent is contacted about attendance violations.
III. Discipline: Respect all Teachers, teammates and coaches, disrespect willnot be tolerated.
First offense: 20 stadiums
Second offense: 1 event suspension and parent notification
Third offense: Dismissal from team.
IV. Any athlete with multiple discipline referrals in or out of the school will be dismissed from team pending meeting with parent, athletic director and administrator in charge of athletics.
These policies may be individually amended due to illness, injury, or special circumstances but will otherwise be strictly adhered to. We will notify the parents if any major punitive action is pending. If you are getting help from a teacher you will need to let a coach know and bring a note from the teacher before you report to practice.

Membership Dues
The booster club assists the athletes of Roswell Track and Field. They are the primary financial support group for the organization. Without this financial support the athletic team would not be able to function at the level your child deserves. Your membership dues help fund large projects like the purchase of major equipment, essential track maintenance, training equipment, and the extra supplement for the coaches not covered by the county. Funds from the booster club are also used for transportation to state meets as well as the end of season awards banquet. The track team receives minimal funds from the school; therefore it is essential that support is sought from participants, community, and corporations. This year the booster club will receive 100% of the profits from concessions and other fundraising endeavors, therefore the club will also ask you to donate a minimal amount of your time.
We take great pride in our track facilities. Many schools consider the facilities and the efficiency of how meets are run at Roswell to be 2nd only to the girl’s and boy’s state meets, yet there is still a need for improvement to maintain such high standards. With your help we can make our track and field program one of the best in the state of Georgia. Please consider all that it takes to maintain our facilities and give your child the best possible athletic experience when you choose your level of participation.

I. Concessions- organize and schedule workers for all home meets. 4 adults needed
Wednesday/Thursdays time slots 4:30-6:30, 6:30-8:30
Saturday invitations 3 hour time slots starting at 8:30
County/Region time slots 4:30-6, 6-7:30, 7:30-9
II. Saturday meals- provide healthy snacks and sandwiches for athletes participating in Saturday meets; you will be reimbursement from Booster club with receipts.
III. Wednesday/Thursday track meet workers. 5:00-Press box, 4:30 field workers

Alternatives: Score an individual point or and accumulation of one point on a relay in the Region meet, County meet, or Invitational meet.
Requirements: An athlete must meet these requirements to qualify.
Attendance: Athletes can only have 3 absences from ALL team activities and practices unless cleared by the coach.
Participation- Our runners are expected to put forth their best effort in practice, during training, and in competition.
Behavior- Our athletes are expected to be respectful at all times towards teammates, coaches, and parents.
Coaches Discretion: The coaching staff does reserve the right to award a varsity letter to an athlete in a situation where they may not have met the above criteria.

ARTICLE 1 – ORGANIZATION
This organization shall be a non-profit, unincorporated association unless state laws require differently.

ARTICLE 2 – PURPOSE
The track team exists for the purpose of broadening the involvement of students, both male and female, in track and field athletic events. The school shall provide a staff of qualified, knowledgeable coaches who will train and prepare the athletes for various competitions. The track team will also seek active participation of as many parents as possible in a track specific booster club. In addition, the track program will:
- Support, promote, and maintain a high standard of integrity and good sportsmanship in all athletic activities of the high school.
- Support and assist the track booster club. The track booster club will directly support their coach’s program. They are responsible for fund raising, organization of volunteers, and other activities as identified by the sport.
- Raise additional funds to assist the track program through the high school.
- Promote the track program so to encourage more young men and women to get involved either as an active participant or as a volunteer assistant such as a trainer, manager, or meet helper.
- Establish budgets to be effective at the start of the school fiscal year. Coaches and booster club officers will present their budget to the Athletic Director and Principal in the preceding spring. These presentations will include the fiscal requirements for the track program and plans on how to fund raise. After the Athletic Director and or Principal have heard all presentations, they will approve or modify the track budget.
- Present to the school administration, in a manner of general agreement, ten percent of all money raised by fund raising projects to meet the executive athletic booster club’s requests.
ARTICLE 3 – OFFICERS AND ELECTIONS
Section 1
Officers shall consist of a President, Treasurer, Secretary, and Concessions Officer. These offices may beheld jointly by husband and wife partner. In matters requiring a vote, each office is allocated one vote. There can be additional officers, committee chairpersons, and other officials as the president shall appoint from time to time.
Section 2
Each president shall also serve as a representative to the school athletic booster club. These offices may be held jointly by husband and wife partner. In matters requiring a vote, each office is allocated one vote.
Section 3
Election of officers shall take place at the fall meeting of the track program to be held some time before the end of the first semester. The slate of officers should be presented to the parent group at a meeting preceding the election meeting. The proposed slate shall be nominated by a nominating committee, hereafter defined, and the committee may nominate more than one proposed officer for each position. The proposed nominations may be accepted by the nominating committee in its sole consideration from the floor during the nomination meeting or the nominating committee may generate nominations itself. The full slate or slates as nominated by the nominating committee must be accepted by a majority of the parent group.
Section 4
The nominating committee shall consist of the head coach for boys and girls and three vice presidents selected by the coaching staff.
Section 5
Officers shall serve for one year and not for more than two years or until their successor is selected.
Section 6
Officers shall be installed at the track parent meeting to be held in January prior to the beginning of track season. The officers shall take over their duties in all matters affecting the upcoming track season and up until the next nomination meeting.
Section 7
As the new officers assume their duties, all annual reports shall be received and the new officers, retiring board, and coaches shall hold a joint session. At the joint session, the retiring officers shall transfer all books and papers in their possession and belonging to the track program to the new administration, and otherwise advise the new administration as to the status of affairs of the track program.
ARTICLE 4 – DUTIES OF OFFICERS
Section 1
It shall be the duty of the president to preside at all regular and special meetings for the track program. The president shall perform all of the duties of the office, shall appoint all committees and committee chairpersons, and shall be an exofficio member of all committees except the nominating committee. The president shall have regular meetings with the school principal and athletic director as determined by the group.
Section 2
The nominating committee will elect a president protempore from amongst the committee members. The president protempore shall act as president in the event of the president’s absence, death, or incapacity and shall assume his duties for the balance of his term unless replaced by the nominating committee.
Section 3
It shall be the duty of the secretary to keep a record of all regular and special meetings and all executive board meetings. It shall be the duty of the secretary to maintain a procedure book which is a record of the activities of the track program compiled into a permanent form. The secretary shall maintain a track program membership list including all contact information.
Section 4
It shall be the duty of the treasurer to receive all monies due to the track program and deposit same with the Roswell High School Book keeper. The treasure shall disperse the funds of the track program only for the purposes approved by the track program. The treasurer shall present a statement of accounts at all regular meetings and at other times when requested to do so by the president and shall make a full report at the annual meeting. The accounts of the treasurer may be audited by a committee approved by the president.
Section 5
The track committee may deem it necessary to add additional officers. Majority vote of the track committee is required to make this effective.
ARTICLE 5 – TRACK COMMITTEE
Section1
The track committee will consist of all track coaches, president, secretary, and treasurer of the track program.
Section 2
The duties of the track committee shall be:
- To transact necessary business in the intervals between track program meetings and such other business as may be required to it by the track program.
- To create standing committees.
- To approve the plans of work of the standing committees.
- To present a report at the regular track program meetings.
- To prepare and submit to the track program for approval a budget for the fiscal year.
- To approve any bills within the limits of the budget.
- To approve plans for the development of the track program.
Section 3
Regular meetings of the track committee shall be held monthly during the school year, the time to be fixed by the board at its first meeting of the year. A majority of the track committee members shall constitute a quorum. Special meetings of the track committee may be called by the president, head coach, or by a majority of the members of the board.
ARTICLE 6 – MEETINGS
Section 1
Regular meetings of the track program parent group shall be held each month of the school year unless otherwise provided by the executive athletic department or track committee. Ten days notice should be given. Location and time of these meetings will be determined and announced to the parent group. If possible, location and time of meetings will be posted on the school website.
Section 2
The chairman of each standing committee shall present a plan of work to the president and head coach for approval. No committee work shall be undertaken with out consent of the track committee.
Section 3
The power to form special committees and appoint their members rests with the track program parent group and the track committee.
Section 4
The president shall be an ex-officio member of all committees except the nominating committee.
ARTICLE 7 – PROPERTY RIGHTS
Membership in the track program shall not title nor vest any of the members with any property rights or rights having monetary value of any kind whatsoever, including but not limited to, property rights or monetary rights in the school or in the track program.
ARTICLE 8 – AMENDMENTS
The bylaws shall be approved at a meeting of the track program by a majority voted of those members eligible to vote and actually casting their vote at said meeting. The bylaws may be amended by a majority vote of the track program parent group at any regularly called meeting. Such amendments may only be recommended by the track committee and shall be presented in writing and read at the regular meeting prior to the time of voting.
ARTICLE 9 – RELATIONSHIP WITH PRINCIPAL AND ATHLETIC DIRECTOR
The track program shall operate in full support of the school principal, athletic director, and coaches. At no time should the track program parent group make recommendations or become directly involved in the day to day operation of the school athletic program. The track booster club serves only to support the track program and has no say so in the establishment of policy by the school principal or athletic director.
ARTICLE 10 – IMMUNITY
The Roswell High School Track Program and Track Booster Club shall have the same immunity as the local board of education in all matters related to the functions of the school.
